The documents to organise before you register your practice

A practical checklist of identity, address and signature documents that slow down most registrations in India.

Mismatched names, address records or missing signatory arrangements can complicate an application. Organising the information early makes a professional review easier.

Identity and address consistency

Before anything else, put your identity documents side by side and check that your name, spelling, initials and date of birth match exactly. A single inconsistency can send an application back weeks later.

The usual set

The following are examples to discuss with your adviser, not a universal document requirement. The applicable list depends on the process and applicant.

  • Identity information for the relevant owners, partners or directors, as applicable
  • Recent passport-size photographs
  • Proof of the registered office address, plus the owner's no-objection letter if it is rented
  • A recent utility bill for the premises
  • Bank statement or cancelled cheque in the applicant's name
  • Digital Signature Certificate for the signatories, where the filing requires one

Name selection

Have two or three name options ready, and check that none of them collides with an existing entity or a registered trademark. A name that clears the registry but clashes with a trademark creates an expensive problem later.

Keep a single folder

Store scanned copies in one clearly named folder with the date each document was issued. You will reuse this set for bank accounts, GST, MSME registration and most future filings.
